More Process: Sage MAS 500 Year-End Process Checklist

Henry Denoudsten is the President of Morphix Business Consulting and has been delivering business solutions for the manufacturing industry since 1995. With two designations from The Southern Alberta Institute of Technology, one in Electronics Engineering and the other in Computer Software Engineering, as well as a strong understanding of the logic behind accounting and business, he is well-equipped to provide enterprise solutions for middle market businesses.

Henry began his career with Shell Canada installing microcomputers and helping to create their corporate standards for software and hardware. You could even venture to say he has probably done more business software installations than anyone in Western Canada and has seen every possible complication known to this industry. Throughout the 25 years he has been working in this industry he has rarely been presented with an issue that he couldn’t overcome.

When asked why he enjoys what he does so much Henry said, “It all comes down to the intellectual challenge. Although there are certain standards to business – each company will execute the business differently. The uniqueness with which they execute their business is the business’ personality and I believe that is what gives them a competitive edge. I like the dance of working with a new customer, learning about them, educating them about available solutions while at the same time respecting and understanding what they do. That’s the fun part. I love being able to create or find a solution to a problem – and provide a business with a solution that is complementary to how they operate. With the products on the market becoming more and more flexible, clients are finding that they can express their business personality even more. Rather than homogenizing an industry to standard business practices, what we’re trying to do is enhance the competitive edge that the customer has over their competitors. Our goal is to be a management consultant using technology to improve or enhance how our clients execute their business.”

The Process Period End task performs the year-end close when the Current Period field in Set Up GL Options is set to the last period of the current fiscal year defined in Set Up Fiscal Calendar.

Before closing, backup, post all transactions and adjustments, reconcile, and print final financial statements. For detailed instructions, see How to process period-end closing or year-end closing in Sage MAS 500 (Online version only).

Closing Modules in the Appropriate Order: The recommended order of closing modules at year-end is as follows:

  1. Inventory Management
  2. Accounts Payable
  3. Accounts Receivable
  4. Cash Management
  5. Multicurrency
  6. General Ledger

Changing General Ledger Fiscal or Calendar Year Structure: Current and future accounting period dates can be changed for fiscal years that contain accounting data. Use the Set Up Fiscal Calendar task to modify the end dates for the periods, and select to recalculate when saving the new fiscal year dates. To configure more than one fiscal year within a 12-month period, select the Allow Multiple Fiscal Years per Calendar check box in Set Up GL Options. More Tech Tips: Recalculating Fiscal & Inventory Calendar Period Balances

Cloud computing is a general term for anything that involves delivering hosted services over the Internet. The name cloud computing was inspired by the cloud symbol that's often used to represent the Internet in flow charts and diagrams.

... At a fraction of the cost of in-house systems, this looks like a great way for businesses to better manage overhead cost and ROI in terms of a new IT investment, not to mention the ability to utilize employees to generate more business (instead of managing the system)...

Recently Microsoft® and their subsidiary Danger (a cloud computing service) sustained a major blow when their new Smartphone, Sidekick for T-Mobile, suffered a service outage causing an unknown number of users to lose all of their data. While at first it appeared as though the data would be unrecoverable, thankfully Microsoft was apparently able to create a tool with which customers could restore their contacts. However they are continuing to work around the clock to help customers restore the remainder of their lost data including photos, notes, and to do lists. With this recent scare, added to the list of growing cloud computing glitches including: two outages for Google Gmail in September; PayPal’s crash in August; and Window’s Azure in March, users are understandably concerned about the safety of their data.

Having said that, there still are many advantages to using a hosted solution such as having access to a shared data center where you can log in, customize applications and be up and running in under a week, and with a plethora of apps to choose from - CRM to HR and Accounting to Production – the possibilities seem endless. At a fraction of the cost of in-house systems, this looks like a great way for businesses to better manage overhead cost and ROI in terms of a new IT investment, not to mention the ability to utilize employees to generate more business (instead of managing the system).

Use the following query to recalculate Inventory Management balances:

  1. Start Query Analyzer, and specify the Sage MAS 500 application database (generally MAS500_app).
  2. Run the following query:

  • DECLARE @P1 int
  • EXEC spimRecalcPeriodHist null, 2, @P1 OUTPUT
  • IF @P1=1
  • PRINT ‘Recalculation Successful!’
  • ELSE
  • PRINT ‘Recalculation Failed’
